Free Printable: Where Everything Is

This is a free one-page printable. For each item that matters, such as the original will, the passport or the safe-deposit box key, you write where it is kept and who else knows, so the people you trust can find things without guessing. It is a US Letter page you print and fill in by hand. There is nothing to sign up for.

The one-page printable: a table with three columns, Item, Where it is kept and Who else knows, with rows for papers such as the original will and passport, and for accounts, keys and access, above a box headed What never to write on this page.

What is on the page

  • Papers: original will, trust papers, birth and marriage certificates, passport, house papers or lease, vehicle titles, insurance policies, tax returns, military discharge (DD 214) and prepaid funeral papers.
  • Accounts, keys and access: bank and retirement statements, the safe-deposit box and key, the password manager, phone and computer unlock, cash and valuables, and spare keys.
  • Anything else: two blank rows.
  • A "Written by" and a date line at the top, so a reader knows how recent it is.

What never to write on it

The printable repeats the rule on the page itself. Do not write passwords or PINs, full Social Security numbers, full account or card numbers, recovery phrases or private keys for digital money, or answers to security questions. Write where they are kept and who can open that place, such as a password manager, a safe or a safe-deposit box. The last four digits of an account are enough to identify it. A page of passwords is a page of keys to everything you own. This is our own rule for the page, not a legal requirement.

How to use it

  1. Print it on US Letter paper at 100 percent ("Actual size"), not "Fit to page".
  2. Fill in the where and the who. Write where something is kept, not what is in it.
  3. Tell someone the page exists, and keep it with your papers.
  4. Look at it once a year and after any big change, such as a move, a new account or a new person you trust.

What the paid planner adds

This page is taken from Everything Is Here, a 46-page fillable PDF planner for $14.99. The planner adds:

  • A guide for the person who opens the binder: the first 72 hours, the first two weeks and the first three months, with a source for each step, and a log of who has been told.
  • Ten sections to fill in, from legal papers and money to health care wishes, digital life, funeral wishes and letters.
  • Shaded boxes you can type into on a computer (more than 1,600 of them), as well as pages you can print and write on.
  • Four wallet cards and binder spine labels.

If one page is all you need, the free page is yours to use. See the planner.
